Description of Autopilot Services

1. Internal Agents – Internal Agent License Management:

The provision of Autopilot for “Internal Agent License Management” consists of the following:

A. New Agent Additions:

Customer’s Project Manager will provide initial data to AgentSync for agent onboarding within 5 business days of agent hire. AgentSync will onboard new agent additions, which may include, as applicable, capturing contact information, NPN, and required licensing coverage. Once onboarded, Autopilot will maintain new and existing licenses for each internal producer. The following initial licensing services will be provided, as applicable:

1. Initial Licensing – Resident and Non-Resident Licensing (as applicable)

For all customers who are carriers, MGAs, or agencies, AgentSync will apply for licenses as applicable and as specified by the Customer’s Project Manager. Customer shall inform AgentSync at least 14 business days in advance for updates to new license coverage requirements.

Resident license applications have specific requirements, including NIPR warehouse documentation, proof of citizenship, fingerprints, and in select states, background checks. Upon submission of the resident license application, AgentSync will notify Customer’s project manager to take any action as required by the applicable state.

Customer is responsible for ensuring that the individual producer informs AgentSync upon completion of applicable state and NIPR requirements. If a producer fails to complete these tasks within 5 business days of the submission of the resident license application, AgentSync will escalate the matter to the Customer’s Project Manager.

If an individual producer does not provide all required state and NIPR requirements within the specified time frame for each state, the application will be rejected. State Departments of Insurance will not issue a refund, and a new application will be required.

B. License Renewal:

1. New Background Question:

Some states may introduce new state-specific background questions that must be answered by the individual producer through the AgentSync portal. AgentSync will send the initial notification to the Customer’s project manager when new background questions are required. Customer is responsible for ensuring that the producer completes all required background checks.

Fulfilling these requirements are conditions precedent for AgentSync to process the renewal of individual producer licenses. Customer acknowledges that if an individual producer fails to complete this requirement, AgentSync will not be responsible for any lapsed license and additional licensing renewal fees.

II. Resident Producer or Adjuster license renewal:

a. Relocations:

Customer shall ensure that the individual producer promptly informs AgentSync of any change to their address within their resident state. This notification is required for AgentSync to take appropriate action to facilitate an address change request.

Customer shall ensure that the individual producer promptly informs AgentSync if they have relocated to another state. This notification is required for AgentSync to take appropriate action to collect the necessary documents required for state-to-state moves. Failure to do so may result in delays in obtaining resident licensing.

If an individual producer does not complete the required documents for state-to-state moves, (1) where AgentSync is first notified of such non-completion; AgentSync will notify Customer’s Project Manager after AgentSync receives notification of such non-completion; and (2) where Customer’s Project Manager is first notified of such non-completion; Customer’s Project Manager will notify AgentSync after Customer’s Project Manager received notification of such move. Customer will be responsible for providing all required information to facilitate any required updates resulting from the move.

B. Non-Resident Producer or Adjuster License Renewals:

AgentSync will initiate the renewal of individual producer licenses within 60 days of license expiration (or as otherwise specified by Customer).

Customer’s Project Manager shall notify AgentSync at least 90 days in advance of its election to not to renew an individual producer’s license.

C. Agent Offboarding

AgentSync will manage the offboarding process for individual producers who are terminated by Customer which may include terminating appointments, removing portal access, and deactivating NIPR sync, as applicable. Customer must notify AgentSync of any such termination within 7 business days of termination.

D. Reports, Dashboards and Alerts:

Upon Customer’s request, AgentSync will provide up to twenty (20) reports from Customer’s Manage Software Service instance to key Customer stakeholders, including:

  • Financial, cost reporting for licensing activity conducted through Autopilot
  • Licensing Status
  • Regulatory action(s)
  • General usage
  • Tasks

2. External Agents – External Agent Appointment Management.

AgentSync’s Autopilot Services for “External Agent Appointment Management” consists of the following:

A. Onboarding

AgentSync will provide the following onboarding and management services for new agency and agent additions:

  • Gathering contact information
  • National Producer Number (NPN), and
  • Confirming required appointment coverage.

Additionally, AgentSync will provision and maintain access to AgentSync’s external agency portal to collect the necessary information.

Customer shall ensure that its Project Manager continually cooperates with AgentSync to monitor and manage external partner data. AgentSync will inform Customer’s Project Manager of progress and/or issues related to external data entry by external partner agencies, including feedback related to data errors, or general portal usage issues.

AgentSync will partner with Customer’s Project Manager to ensure required data is successfully loaded to AgentSync in the AgentSync provided format template and AgentSync will initiate syncing of data with NIPR within 5 business days of initial request. Incomplete or inaccurate data will be escalated to Customer Project Manager for reconciliation within 5 business days of onboarding or the initial bulk upload request sent to the AgentSync.

B. Appointments

AgentSync will appoint individual producers on behalf of Customer’s underwriter.

Customer must provide updates regarding appointment coverage to AgentSync at least 14 business days in advance of when Customer requires the requisite action.

C. Agent Offboarding:

AgentSync will manage offboarding of terminated agencies and/or associated producers, including appointment termination, removal of the AgentSync portal access, and deactivating NIPR sync. AgentSync will only deactivate NIPR sync after the appointment termination is approved by the applicable state and updated through NIPR.

Customer must provide notification of appointment termination at least 7 business days in advance of partnership termination.

D. Reports, Dashboards and Alerts:

Upon Customer’s reasonable request, AgentSync will provide up to twenty (20) reports from Customer’s Manage instance to key Customer stakeholders, which may include:

  • Financial, cost reporting for licensing activity conducted through Autopilot
  • Appointments and licensing status
  • Regulatory action(s)
  • General usage
  • Tasks

3. Autopilot Exclusions

Notwithstanding anything herein to the contrary, the services listed below are excluded from the Autopilot:

  • Licensing
    • Adjuster Resident Licensing
    • Bond submission required for licensing
    • Processing and submitting paper applications for licensing requiring checks
    • Providing verification services for state background questions beyond confirming completion
    • Retrieving and generating license documents
    • Verifying Continuing Education (CE) completion and providing guidance on mandatory CE courses for producers, as well as overseeing CE completion tracking
  • Producer Tasks
    • Managing producer affiliations and offering ongoing support beyond the initial creation of affiliation records in AgentSync
    • Legal Name changes for individuals
    • FINRA registration – Broker Dealer registration Fingerprint verification
    • Communicating with external distribution channels
  • Agency Tasks
    • Company Licensing and Rate Filings
    • Business Entity Name Approval (BENA) submissions
    • Secretary of State Registration in all jurisdictions
    • Corporate Filings
    • Legal Name changes for agencies
  • Documents & Portals
    • Submitting documents to the NIPR (National Insurance Producer Registry) Warehouse and State Department of Insurance portals for storage and processing
    • Sending documents to state DOI for deficiency requests
    • Resetting passwords for State Department of Insurance (DOI) portals
    • Tracking down producer and agency login credentials for State DOI (ex. WA), NIPR, etc.
    • Certifications submission for LIC-050 Surplus Line and/or Special Lines’ Surplus Line and Surplus Lines tax filings
  • Data Management
    • Data clean up – Verifying and correcting NPNs and FEINs when inaccuracies are identified in provided data.
